Getting Started
Understanding StageCore
What is StageCore?
StageCore is an end-to-end home staging software platform. It connects the work that normally lives in separate spreadsheets and apps: estimates, contracts, room design, inventory, warehouse load lists, scheduling, pickups, invoicing, and analytics. The important difference is that these tools share one project record.
Who is StageCore built for?
StageCore is built for professional home staging businesses—from owner-operators organizing their first serious catalog to companies with designers, warehouse staff, field crews, and administrators. Role-based access lets the experience grow with the team.
Does StageCore replace both inventory and project-management tools?
It can. Inventory and projects live in the same platform, so room selections, item availability, load lists, dates, team assignments, pickups, and billing remain connected. Specialized integrations such as CompanyCam, DocHub, and QuickBooks Online extend that workflow where they are useful.
Does StageCore have a free plan?
Yes. StageCore has a permanent free plan with no credit card required. Paid plans add capacity and capabilities as the staging business grows. Current plan details are available in the pricing section.
Inventory & AI
Building and Trusting the Catalog
How can I add inventory to StageCore?
Use the method that fits the moment: manual entry, CSV import, reusable item templates, single-item AI detection, multi-item detection from a room photo, or census-first batch detection across a larger photo set. Phone images are compressed during upload, and HEIC photos are converted automatically.
How does census-first AI prevent overcounting?
StageCore looks across the full photo batch and proposes a census of distinct pieces and quantities before creating inventory. You can correct counts or remove incorrect detections first. Items are created only after confirmation, making duplicate creation much easier to prevent.
Can I import an existing inventory spreadsheet?
Yes. StageCore supports CSV inventory imports and can process common details such as brands and dimensions. That gives established staging companies a practical migration path without photographing or retyping every existing piece.
Can StageCore track sets, quantities, and individual units?
Yes. A grouped item can be managed as a quantity while individual units retain their own identity through serial-number suffixes. That allows the designer to request six chairs while the warehouse still knows which six moved.
How does date-aware availability work?
The designer chooses inventory in the context of the planned staging date. StageCore can show what is free now and what is scheduled to return before that install, reducing accidental double-booking across overlapping projects.
Projects, Design & Warehouse
From Signed Scope to Returned Furniture
What information stays with a project?
A project carries the property address, client or agent, workflow status, staging and pickup dates, planned rooms, staging plan, listing photos, quote details, warnings, assigned people, inventory movement, and related billing context.
Can designers see walkthrough photos while planning rooms?
Yes. CompanyCam can place the property’s photo and video feed beside the staging designer. Designers can build standard or custom rooms while referring to the actual property and its contracted scope.
Does the room design become a warehouse load list?
Yes. Assigned inventory becomes a synchronized load list with quantities, room context, packing notes, condition warnings, status, and an assignee. If the design changes before shipment, the list stays aligned with it.
What happens if an item is damaged or needs to be replaced?
The replacement workflow lets the team swap a damaged item for another available piece. StageCore reconciles the room assignment and load list so the warehouse and designer are not working from conflicting versions.
Business & Integrations
The Client and Office Side
Can StageCore create estimates and contracts?
Yes. The estimate builder prices a staging from the property and selected rooms using the company’s pricing guide. StageCore can prepare client communication, generate a contract, and use DocHub for e-signature. Extracted room scope can then pre-populate the designer.
How does QuickBooks Online work with StageCore?
A company connects its own QuickBooks Online account. From a StageCore project, the team can create or match the customer, create the invoice, and optionally send it through QuickBooks. StageCore also tracks invoices and can identify extension-billing needs.
What scheduling tools are included?
The shared calendar covers staging installs, pickups, custom events, rescheduling, and per-person assignments. Team members can see their own schedule, and Google Calendar connectivity is available when the business wants it.
Which integrations does StageCore support?
Current integrations include QuickBooks Online for accounting, CompanyCam for walkthrough media, DocHub for e-signatures, Google services for sign-in, maps, listing-photo search, and calendar connectivity, Stripe for StageCore billing, plus configurable outbound webhooks.
Team, Data & Support
Access, Security, and Help
Can different team members have different access?
Yes. StageCore uses role-based permissions. Administrators can manage business settings and users, designers can focus on room planning, and warehouse or packing personnel can work from their operational views without needing every administrative control.
Does StageCore have a mobile app?
StageCore currently runs as a responsive web application in modern desktop and mobile browsers. It is not advertised as a native iOS or Android app, so there is no app-store installation requirement.
Is each staging company’s data kept separate?
Yes. StageCore is multi-tenant software with tenant isolation, role-based access, tenant-scoped file serving, and tenant backups that can be downloaded and restored. One company cannot browse another company’s catalog or projects.
What onboarding and support are available?
Existing inventory can be migrated by CSV, administrators can invite team members, and the in-app support assistant answers platform questions. When hands-on help is required, StageCore can use read-only support access to inspect the tenant without changing its data.
