5. How We Share Information
We may share information in the following limited situations:
Service Providers
We may share information with trusted vendors who help us provide the Service, such as hosting providers, database providers, cloud storage providers, payment processors, email providers, analytics providers, customer support tools, and security services.
These providers are allowed to use information only as needed to provide services to StageCore.
Third-Party Integrations
If you connect StageCore to a third-party service, we may share information with that service as needed to perform the integration.
Legal and Safety Reasons
We may disclose information if required by law, legal process, court order, government request, or if we believe disclosure is necessary to protect rights, safety, security, or prevent fraud or abuse.
Business Transfers
If StageCore is involved in a merger, acquisition, financing, sale of assets, reorganization, or similar business transaction, information may be transferred as part of that transaction.
6. Data Retention, Export, and Deletion
Active Accounts
We retain account information, business records, project information, inventory records, images, documents, integration data, and other information for as long as reasonably necessary to provide and secure the Service.
Cancelling a paid subscription does not automatically delete the StageCore account or its data. Unless the account is separately closed, the workspace may move to the StageCore Free plan and remain subject to the limits and features of that plan.
Account Closure and Retrieval
Account closure is separate from cancellation of a paid subscription.
When an authorized administrator requests account closure, we provide the account contact with the applicable paid-access end date, retrieval deadline, and scheduled deletion date.
Customers have 30 days following the end of paid access to retrieve an available export of their StageCore data. The export may include StageCore records and the separately stored image and document library.
For security, exports do not include passwords, password hashes, authentication tokens, integration credentials, encryption keys, or other security secrets.
Export links are private and time limited. Customers should not forward these links or provide them to unauthorized persons.
An authorized administrator may stop the scheduled account deletion before the deletion date. Doing so may revoke previously issued export links.
Deletion
On or after the scheduled deletion date, we delete the closed workspace's data from active StageCore systems. This includes tenant database records, separately stored images and documents, and StageCore-created tenant backup files.
Residual copies may remain temporarily in encrypted or access-restricted infrastructure backups until those backups expire or are overwritten through routine backup-rotation procedures. Residual backup information is not returned to active use except where reasonably necessary for disaster recovery, security, fraud prevention, legal compliance, or the establishment, exercise, or defense of legal claims.
We may retain limited information where required by law or reasonably necessary for tax, accounting, billing, security, fraud prevention, dispute resolution, or enforcement purposes.
Third-Party Services
Closing a StageCore account does not delete information stored independently by connected third-party services. Customers must manage information retained by services such as accounting, email, electronic-signature, payment, or photography providers through the applicable provider.
Information retained by third-party providers is governed by their respective terms and privacy policies.
7. Data Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, loss, misuse, alteration, or disclosure.
Images and documents may be stored separately from StageCore's transactional database in private cloud object storage. We use tenant-level access controls, authenticated access, time-limited download links where appropriate, encryption in transit, and encryption at rest to protect this information. Database restore checkpoints may preserve references to these files without containing duplicate copies of the image or document files themselves.
However, no system is completely secure. We cannot guarantee absolute security of information.
8. Your Choices and Rights
Depending on your location, you may have rights to access, correct, delete, export, or restrict certain personal information. Authorized StageCore administrators may also create a full account export through Settings → Backups and may request account closure through Settings → Billing.
You may also have the right to opt out of certain communications or request information about how your personal information is used.
To make a privacy request, contact us at support@stagecore.co.
9. California Privacy Notice
If you are a California resident, California law may provide additional rights regarding your personal information, including the right to know, access, correct, delete, and opt out of certain sharing or sales of personal information.
StageCore does not sell personal information in the traditional sense.
